Personal Data & Cookies

How we collect, use, store and protect the details you send us, and what this website does with your device.

This policy explains what personal information BRS collects when you use this website, why we collect it, how long we keep it, and the choices you have. It sits alongside our Safeguarding and Policies pages.

1. Who we are

BRS is responsible for the personal information described in this policy. If you have any question about how we handle your family's details, write to us at info@brscoachingacademy.co.uk and we will deal with it as a priority.

2. What information we collect

We collect personal information directly from you when you complete the registration enquiry form, or when you email or phone us. That information is:

  • Your child's name
  • Your child's date of birth (optional)
  • Your child's age group and preferred centre or session
  • Parent or carer name
  • Parent or carer email address
  • Parent or carer phone number (optional)
  • Any extra information you choose to tell us in your message
  • Confirmation that you gave consent, and the date your enquiry was received

We do not ask for payment details on this website, we do not collect bank information, and we do not knowingly gather any information directly from a child. Everything we hold about your child comes from you as their parent or carer.

3. Why we use it

To answer your enquiry

So we can reply with session times, availability, costs and the group that suits your child's age and stage.

To keep your child safe

So the right adults know who is on the pitch, who to contact, and any information you have volunteered about your child's needs.

To run our sessions and teams

So we can plan groups, communicate changes, and keep records of who is attending.

To improve how we coach

So we can review how our development centres and league teams are working, without needing to identify individual families.

Our lawful basis for processing these details is the consent you give when you tick the consent box, which for a child is given by the adult with parental responsibility. We only ever use your information for the purposes set out above, and we never sell it.

4. Children's information

A child's name and date of birth are personal data, so we treat enquiry records with extra care. We keep them in a secure database that is not open to the public, we restrict access to the small number of staff who need to answer enquiries and run our sessions, and we do not publish a child's name, photograph or any other detail without a parent's or carer's consent. If you would prefer your child's photograph not to appear on our website or social media, tell us at info@brscoachingacademy.co.uk and we will honour that.

5. How we store and protect your data

Enquiries are submitted over an encrypted connection and stored in a secure database that ordinary visitors to this website cannot see. Access to that database and to our staff area is controlled by named sign-in accounts rather than a shared password, and our coach photo library is kept private so only approved pictures are released to the public pages.

No method of storage is completely risk-free, so we keep only the information we actually need, for only as long as we need it.

6. How long we keep it

If you enquire but never join us, we keep your enquiry for twelve months so we can pick up the conversation if you come back to us, then delete it. If your child registers with us, we keep their details for as long as they are with BRS, and for a short period afterwards to satisfy insurance, safeguarding and accounting requirements. You can ask us to delete your family's details sooner at any time.

7. Who we share it with

We never sell personal information and we do not share it for marketing. We only pass details on where we genuinely need to:

  • Our website hosting and database provider, which stores enquiries securely on our behalf.
  • Our email provider, when we send or receive messages with you.
  • Our league and county FA bodies, where they require player or team registration information.
  • The police, social care or our safeguarding partners, if we are legally required to pass information on to protect a child.

Our providers act on our instructions and are not allowed to use your information for their own purposes.

8. Cookies and similar technology

A cookie is a small file a website asks your browser to keep so it can remember something. Our public pages do not place any cookies on your device, and we do not run analytics or advertising tools that follow you around the web. Here is everything that does happen technically while you browse:

This website does not embed videos, social media feeds or maps from other services, so no third party is served content to your browser while you read our pages. If we ever add one of those features, we will update this policy and, where the law requires it, ask for your consent first.

You can control or delete browser storage through your browser settings at any time. Turning cookies off will not stop you from reading our public pages or using the enquiry form.

9. Your rights

You have the following rights over your family's personal data. To use any of them, email info@brscoachingacademy.co.uk. We will reply within one month, and there is no charge.

Access

Ask us for a copy of the personal data we hold about you and your child.

Correction

Ask us to fix anything that is wrong, or complete anything that is missing.

Erasure

Ask us to delete your family's details before we would normally do so.

Object or restrict

Ask us to stop using your data for a particular purpose, or to pause our use of it.

Withdraw consent

Take back the consent you gave at any time. This will not affect anything we did with your data beforehand.

Complain

Raise a concern with us first, or take it straight to the Information Commissioner's Office.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or by phone on 0303 123 1113. We would ask you to come to us first so we can put things right.

10. Changes to this policy

We review this policy regularly and will update this page whenever how we handle information changes. The date at the top of the page shows when it was last revised.
